Purpose of the Role
We are looking for a HubSpot Platform Specialist to join our team as a dedicated tactical executor.
While some roles focus on high-level strategy, this role is about doing: implementing workflows, building custom reports, and managing a monthly release program of platform enhancements. You will be the primary technical responder for a key managed service client, ensuring their HubSpot environment is optimized, integrated, and bug-free.
You will be working closely with our Platform Consultants and key clients, as well as owning end to end implementations for small and medium clients.
Key Responsibilities
Tactical Execution
- Provide hands-on implementation support, turning business requirements into functional HubSpot assets (workflows, properties, and pipelines).
- Manage client communications and expectations, maintaining proactive and professional relationships
- Ensure all deliverables are on track and aligned with client goals
- Execute technical "build" tasks based on discovery sessions led by the Platform Consultant.
- Develop and manage small-to-medium implementation projects from scoping through to final testing and delivery
Release Management & Platform Enhancements
- Deliver a consistent program of enhancements, technical improvements and monthly releases.
- Audit existing automation to identify redundancies and improve system efficiency.
- Document all technical configurations and system changes to maintain a clear "source of truth" for the client.
- Proactively suggest platform improvements based on new HubSpot feature releases.
First Responder & Technical Support
- Act as the primary technical point of contact for high-impact issues, diagnosing and resolving bugs within agreed commercial SLAs.
- Troubleshoot integration failures between HubSpot and third-party applications like Salesforce or SMS tools.
- Provide direct tactical support to client users to ensure high platform adoption and proficiency.
- Monitor data health dashboards to identify and fix sync errors or data gaps immediately.
Essential Job Functions
- System Configuration: Hands-on setup of HubSpot portals, including complex branching logic and data mapping.
- Ticket Management: Managing a queue of technical requests and prioritizing them based on urgency and client impact.
- Integration Maintenance: Ensuring the "plumbing" between HubSpot and other business systems remains functional and secure.
- Reporting Construction: Building custom reports and dashboards to provide clients with real-time visibility into their KPIs.
Essential Individual KPI’s
- SLA Compliance: Meeting or exceeding response and resolution times for high-impact technical issues.
- Release Consistency: 100% on-time delivery of the monthly enhancement program.
- Data Integrity: Maintaining a "clean" portal with minimal duplicates and error-free integration syncs.
- Utilisation: Maintain minimum 80% utilization
- Quality of Service: Uphold high delivery and communication quality standards
Required Knowledge, Skill and Abilities
- Deep technical understanding of all HubSpot Hubs (Marketing, Sales, Service, Data).
- Strong organisational and project management abilities
- Solid grasp of inbound marketing methodologies and CRM best practices
- Advanced troubleshooting and analytical skills to diagnose complex technical "breaks".
- Exceptional written and verbal communication for explaining technical fixes to non-technical stakeholders.
- Comfortable working independently in a fast-paced, remote-first agency environment
- Ability to translate high-level business goals into specific, granular technical tasks
Education and Experience
- Bachelor’s Degree in Marketing, Technology, or a related field
- 2–3 years of hands-on experience as a HubSpot Administrator or Technical Specialist.
- Demonstrated ability in the technical "how-to" across Marketing, Sales, and Service Hubs.
What to Expect
Hours of Work
Our company values and respects flexible work arrangements. This role is fully remote, with the expectation that the successful candidate will be based either in Australia or New Zealand. While you can work flexibly in terms of location and hours, you must be available to accommodate client schedules during traditional working hours Monday to Friday (8:30–5:30pm).
This position requires a minimum commitment of 30 hours per week, with some flexibility required for AEST/after-hours support.
Work Environment
This is a fully remote role. Occasional in-person team or client meetings may be required, likely no more than once per month.
Travel
Some travel is expected to attend company or client meetings.
